1. Who we are

This Privacy Policy explains how VODROX ("VODROX", "we", "us", "our") collects, uses and protects personal information when you visit our website or contact us through it.

VODROX operates this website and acts as the data controller for the personal information described in this policy. For any privacy query, contact us using the details in Section 18 below.

2. Information we collect

We only collect personal information that you choose to give us, or that is generated automatically through normal, necessary operation of the website (such as server logs). We do not use advertising trackers, analytics cookies or any hidden data-collection tools.

In practice, this means we collect:

• Information you submit through our contact form (see Section 3).
• Limited technical information generated when your browser requests pages, images, fonts or other files from our website or from the third-party services listed in Section 7 (see Section 4).

3. Contact form submissions

When you submit our contact form, we collect the information you provide in that form:

• First name (required)
• Last name (optional)
• Email address (required)
• The type of enquiry you select (optional)
• The message you write (required)
• The date and time of submission

This information is sent directly to our database (see Section 7) and is used only to respond to your enquiry. It is not used for marketing unless you separately opt in to that at a later date, and it is not sold or rented to any third party.

4. Technical information

Like virtually all websites, ours generates standard server and hosting logs as a byproduct of serving pages to your browser. Depending on how the site is hosted, this can include your IP address, general device and browser type, the pages you request, and the date and time of the request. This information is generated by our hosting and infrastructure providers as part of normal, secure operation of the website (for example, to detect and prevent abuse), and is not used by us to build a profile of you or to track you across other websites.

5. How and why we use your information

We use the personal information described above only for the following purposes:

• Responding to enquiries — to read, respond to and manage messages submitted through our contact form.
• Operating and securing the website — to keep the site running reliably and to detect and prevent misuse (for example, spam submissions).
• Legal compliance — where we are required to retain or disclose information by law or regulation.

We do not use your information for automated decision-making or profiling that produces legal or similarly significant effects on you.

6. Lawful basis for processing

Under UK GDPR, we rely on the following lawful bases:

• Legitimate interests (Article 6(1)(f)) — for responding to enquiries submitted through the contact form, and for the limited technical/server-log information generated by normal website operation and security. We consider these interests are not overridden by your rights, since the information involved is minimal and used only for the stated purpose.
• Consent (Article 6(1)(a)) — if in future we introduce any optional feature that requires your consent (for example, marketing communications beyond responding to your enquiry), we will ask for it separately and clearly at that time.
• Legal obligation (Article 6(1)(c)) — where we must retain or disclose information to comply with the law.

7. Third-party services and processors

We keep the number of third parties involved in running this website deliberately small, and we only use services that are actually integrated into the site today:

Google Firebase (Firestore)

Contact form submissions, and the data used to render parts of this website (such as our product and work listings), are stored using Google Firebase/Cloud Firestore, provided by Google Ireland Limited / Google LLC. Firebase acts as our data processor for this information. Google's own privacy and data-processing terms apply to how Firebase handles data on our behalf.

Google Fonts

This website loads typefaces from Google Fonts (fonts.googleapis.com and fonts.gstatic.com) so that pages display correctly. Loading a font file involves a request to Google's servers, which may log technical information such as your IP address, in line with Google's own privacy policy.

We do not currently use any analytics platform (such as Google Analytics), advertising network, marketing pixel, session-recording tool, or customer-support chat widget on this website. If that changes in future, this Privacy Policy will be updated first.

8. Cookies and similar technologies

This website does not set advertising, analytics or tracking cookies. We do not use a cookie-consent banner because we are not currently setting any non-essential cookies that would require one. Some third-party services listed in Section 7 (such as Google Fonts) may involve standard, essential technical requests to their own servers as part of loading the page; these are not tracking cookies set by VODROX.

If this changes in future — for example, if we introduce analytics — we will update this section and, where required by law, request your consent first.

9. Data retention

We retain contact form submissions for as long as reasonably necessary to respond to your enquiry and to keep a reasonable business record of correspondence, after which they are deleted. Technical/server-log information generated by our hosting providers is retained only for the short period typically used for security and operational purposes by those providers, in line with their own retention practices.

10. Data security

We take reasonable technical and organisational steps to protect personal information, including restricting write and read access to contact form submissions so that only authorised access is possible, and relying on Google Firebase's own infrastructure security for data storage and transmission (data submitted through our contact form is sent over an encrypted HTTPS connection). No method of transmission or storage is completely secure, but we aim to use practices appropriate to the limited, low-risk nature of the information we collect.

11. International data transfers

Because we use Google Firebase and Google Fonts, personal information may be processed on servers located outside the UK, including in the European Economic Area and the United States. Where this happens, Google provides contractual safeguards (such as the UK International Data Transfer Addendum / EU Standard Contractual Clauses) intended to ensure your information continues to receive an appropriate level of protection.

12. When we share information

We do not sell, rent or trade your personal information. We only share it in the following limited circumstances:

• With the service providers described in Section 7, strictly so that they can provide the underlying technical service (hosting/storage) we use to run the website.
• Where required by law, regulation, legal process, or a valid request from a public authority.
• To protect the rights, property or safety of VODROX, our users, or others, where we believe disclosure is reasonably necessary.

13. Your rights

Under UK GDPR, you have the right to:

• Be informed about how your personal information is used (this policy).
• Request access to the personal information we hold about you.
• Request correction of inaccurate or incomplete information.
• Request erasure of your personal information, where applicable.

16. Children's privacy

This website is intended for a business audience and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will remove it.
